Occupancy Planner

The Occupancy Planner is responsible for strategizing, planning and implementing corporate client move projects. Responsibilities include client communication, meeting coordination, data collection and reporting, and documentation delivery. 

ESSENTIAL RESPONSIBILITIES

  • Day to day management of multiple move projects at client facilities.

  • Perform preliminary site planning analysis, programming and planning research.

  • Document and maintain client forecast requirements.

  • Prepare strategic stack and block plans to reflect group space allocations within buildings and/or floors.

  • Develop move sequencing plan to schedule move days and develop a move plan.

  • Train client contacts on use of the web-based move management system.

  • Coordinate furniture reconfiguration, inventory and relocation.

  • Coordinate activities of service providers, movers, voice/data and other subcontractors and occupants.

  • Facilitate planning meetings with team and client contacts.

  • Address client’s special requests and post move concerns.

  • Responsible for keeping all phases of the project on schedule.

  • Coordinate floorplan drawing updates-ensure accurate plans after base building updates and construction projects.

  • Assist with data updates for ongoing monthly client occupancy plans.

  • Support Transition Management efforts for move projects.

  • Communicate effectively and collaborate as part of a team of professionals.

  • Assist with data updates for ongoing monthly client occupancy plans.

  • Establish and manage client expectations while maintaining a positive, proactive and professional demeanor.

QUALIFICATIONS

  • Bachelor’s degree in business or related field.

  • 0-5 years of experience.

  • Familiarity with architectural drawings, space planning concepts and furniture systems a plus.

  • Revit and/or Archibus experience is a plus but not required.

  • Strong Excel and Access skills preferred.

  • Strong customer service skills and a self-starter.

  • Excellent communication skills, strong organizational skills and attention to detail are essential.
